Volunteer signup guide

Volunteers sign up when roles are specific, mobile-friendly, and easy to change. Vague “help needed” posts get ignored.

Checklist

  • Name each slot (greeter, nursery, parking, setup).
  • Show time range per slot — not just “Sunday morning.”
  • Cap slots so people see what is full vs open.
  • Let volunteers edit their signup when plans change.
  • Send automatic reminders before their shift.
  • Thank volunteers after the event (public recognition matters).

Print this checklist for shift leads, or run the same roles inside EventWarp.

Step by step

1

Write slots like job postings

“Nursery 9:00–11:30 — two volunteers” converts better than “help with kids.”

2

Use waitlists for popular roles

When greeter slots fill, let the next person join a waitlist instead of texting the coordinator.

3

Connect sign-ups to the event hub

Volunteers should see RSVPs and announcements in the same place as their shift — not a separate tool.

Run this checklist from one shared link instead of a PDF and a group chat.
